FlyIn Track processes only the information needed to create and operate a time-limited flying event. Position reporting opens 24 hours before the configured event start and closes 24 hours after its end. Manager access, the web map, and enabled share links remain available for 14 days after the event. Complete event records are automatically deleted after 30 days.

Who operates the service

FlyIn Track is part of the FlyIn GA tool suite on flyin.dk. For privacy questions, requests, corrections, or deletion enquiries, contact info@flyin.dk.

Information we process

Event information

Event name, type, place, dates, times, pilot information, manager email, and access credentials.

Aircraft and PIC information

Registration, callsign, aircraft type, PIC name, email address, phone number, and aircraft login code.

Live flight information

Latitude, longitude, GPS altitude, direction, speed, accuracy, report times, the latest reported position, and movement-only flight history used for event-map replay.

Technical information

Essential signed session cookies and ordinary request/security information needed to deliver and protect the service. FlyIn Track does not use advertising or behavioural-tracking cookies.

Why the information is used

The information is used to create the requested event, register or invite participating aircraft, authenticate managers and pilots, send access instructions, display participating aircraft on the event map, support event operations, and secure and maintain the service.

The processing supports delivery of the requested FlyIn Track service and the legitimate interest in operating it reliably and securely. Precise device location is transmitted only after the pilot signs in to an aircraft, grants the mobile app location permission, and the event’s reporting window has opened.

Who can see event information

  • The event manager can see the event’s aircraft records, PIC contact details, login codes, live or last reported positions, and saved movement-only flight tracks.
  • Pilots signed into the same event can see participating aircraft identity, PIC name, and reported flight information.
  • If the manager enables the optional public live-map link, anyone with that link may see the same map traffic information. Pilot email addresses, phone numbers, and login codes are not included in the public map response.
  • Closed events are not displayed in the public event list.

FlyIn Track does not sell personal information and does not use it for advertising.

When collection stops and data is deleted

Before the event

Event and registration information may be entered so the event can be prepared. Live GPS reports are accepted beginning 24 hours before the configured event start date and time; earlier reports are rejected.

During the event

The mobile app may report location, altitude, direction, and speed. Event dates and times are interpreted in Europe/Copenhagen local time.

First 24 hours after

Aircraft app access and position reporting remain available for departures and return journeys. Only public-event registration is removed from the landing page at the configured event end time.

14 days after

The manager portal and event web map close together. Until then, the manager map and any enabled share link can display the event’s saved flight history. Manager and aircraft access credentials are erased when this window closes.

30 days after

The complete event record is permanently deleted, including event details, manager and pilot contact information, aircraft records, positions, and remaining metadata. An administrator may permanently delete it earlier.

Your privacy rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, or object to processing. You can revoke the mobile app’s location permission in the device settings. Contact info@flyin.dk and identify the relevant event and aircraft registration so the request can be located.

You can learn more from the Danish Data Protection Agency’s explanation of your rights. If a concern is not resolved after contacting us, you may submit a complaint to Datatilsynet.

Security and service providers

FlyIn Track uses access codes, signed secure cookies, restricted event-scoped access, administrator two-factor authentication, and encrypted transport. Only people who need access for the event or operation of the service should receive credentials or share links.

The service relies on hosting, email delivery, map-tile, aviation-map, and software-delivery providers. Those providers may receive the technical information necessary to answer a request, such as an IP address and browser details, and process it under their own terms and privacy notices.
